Invoicing software for typing centers in the UAE

Why generic accounting tools fail typing centers, the six features that actually matter, and what to look for in UAE billing software with govt fee handling.

Quick answer: generic invoicing tools fail typing centers for one structural reason - they assume every line on an invoice is your revenue. In a typing center most of the amount on the invoice is government fee you paid on the customer's behalf and are recovering, not income, and it does not carry VAT the way your service charge does. Software that cannot separate those two numbers will misstate your VAT, your profit and your receivables simultaneously.

The problem with using Zoho, QuickBooks or Tally for a typing center

These are good products. They are not built for your transaction shape.

Take a routine job. A customer needs a residence visa renewal. You pay AED 1,150 in government fees to ICP and GDRFA on their behalf. You charge AED 200 for your service. The invoice total is AED 1,360 including VAT on your service charge.

Now ask a generic invoicing tool three questions:

  • What was my revenue on this job? It will say AED 1,350. Your actual revenue was AED 200.
  • How much VAT do I owe? If you entered the whole amount as a taxable line, it will calculate 5% on AED 1,350 instead of on AED 200. You have just overpaid AED 57.50 on one transaction.
  • What was my margin? It has no concept that AED 1,150 was money passing through you.

You can work around this. Most typing centers do, with a second spreadsheet that tracks "actual" numbers alongside the accounting system. That workaround is the reason nobody in the office trusts the reports.

The six things typing center billing software has to do

1. Separate government fee from service charge on every line

Not as two invoices. Not as a note in the description field. As two distinct amounts on the same line item, where VAT applies to the service charge and the government fee is treated correctly for VAT purposes.

Get advice from your accountant on whether each specific fee qualifies as a disbursement genuinely outside the scope of VAT, or forms part of your taxable supply. The distinction depends on whose name the fee is in and who is legally liable for it. Whichever way it falls for you, your software has to be able to express it.

2. Track the government fee float

A typing center runs on money that is not yours. You pay fees today, invoice the customer, and collect in thirty days. Your bank balance is not your cash position.

Software should show you what you have advanced on behalf of customers and not yet recovered. That single number is the most common reason a profitable typing center runs out of cash.

3. Handle mixed payment methods and cash reconciliation

Cash, card, cheque, bank transfer, and the cheque that has been in the drawer for four days. Undeposited funds are a real account, not an inconvenience. If your software cannot show you cash in hand, bank balances and undeposited funds separately, you will never reconcile the till.

4. Produce a compliant tax invoice

The words "Tax Invoice", your legal name and address, your 15-digit TRN, a sequential unique number, the date of issue, the description, per-line quantity and unit price, the VAT rate and amount, and the total in AED. Article 59 of the VAT Executive Regulations sets the content requirements; there is no prescribed visual layout, so a branded invoice is fine as long as the particulars are all present.

5. Send on both email and WhatsApp, from inside the system

These are two different jobs and you need both.

Email is your document of record. Corporate clients want the invoice in the inbox, addressed to accounts payable, with a PDF attached they can file and forward. Finance teams process from email. Auditors ask for the email trail. Payment terms, statements and formal correspondence belong there, and a corporate account will often refuse to treat a WhatsApp message as delivery. Good billing software should let you send to a primary email plus multiple additional recipients, because the person who signs off and the person who pays are rarely the same, and it should keep a record of what was sent to whom and when.

WhatsApp is your response channel. For individual customers and for the owner-manager of a small company, a WhatsApp message gets opened in minutes where an email sits for days. That difference shows up directly in how fast you get paid and how often a renewal reminder gets acted on.

The useful setup is not choosing between them. It is sending the same branded PDF through both, then having one place where you can see the email history and the WhatsApp conversation against the same customer record. What you want to avoid is the common arrangement where invoices go out from Outlook, follow-ups happen on three staff members' personal WhatsApp accounts, and nobody can reconstruct what was actually sent when a client disputes it.

6. Customer statements and receivables you can actually chase

Corporate accounts are where typing center money gets stuck. You need a customer statement showing every transaction - invoices, receipts, refunds, credit notes - with a running balance, exportable to Excel and sendable as a branded PDF.

Then you need the layer above it: outstanding receivables, unused customer credits and balance due, per customer and in total. If answering "who owes us money and how much" takes more than one click, collections will not happen consistently.

Features that sound useful but are not

Multi-currency. You invoice in AED. Every time.

Inventory management. You do not hold stock.

Time tracking and timesheets. You bill per transaction, not per hour.

Project accounting. A visa renewal is not a project.

Deep integrations with US-centric payroll and payment platforms. Not relevant to a Dubai typing center.

Paying for a plan that includes all of this is how a small typing center ends up spending AED 400 a month on software it uses 15% of.

A practical evaluation checklist

Before you buy anything, run a real transaction through the trial:

  • Create an invoice with a government fee of AED 1,150 and a service charge of AED 200. Does VAT calculate on AED 200 only?
  • Does the invoice overview show your actual profit on the job, not the invoice total?
  • Record a partial payment of AED 500. Does the status change to partially paid and the balance carry correctly?
  • Send the invoice by email to two recipients. Does it go, and does the PDF carry your logo and colours?
  • Can you see afterwards what was sent to that customer and when?
  • Add a corporate customer with an Arabic name and a TRN. Does the Arabic name appear on the invoice?
  • Pull a customer statement showing sales, receipts and balance. Can you export it to Excel and send it as a PDF?
  • Add a second user with restricted permissions. Can you stop them from deleting invoices?
  • Check the price in AED. Not converted from USD at a rate that moves.

If a product fails the first item on that list, nothing further matters.

What TypeFellow does

TypeFellow's Growth plan is built specifically for this transaction shape. Every invoice line carries a government fee, a service charge, a quantity and VAT applied to the service charge, so your VAT base and your real margin come out correctly without a shadow spreadsheet. Quotations convert to invoices in one click.

Invoices, quotations, receipts and statements go out as branded PDFs with your logo, brand colours, watermark and company seal. Email is handled by a built-in module, so you send from inside the system to a customer's primary address plus any additional recipients they nominate, and every message stays on the customer record rather than in one person's Outlook.

Payment receipts, partial payments, customer statements, receivables tracking and wallet management for cash, bank, card and undeposited funds are all included.

Two things on this page are honest about their status rather than sold as shipped. The WhatsApp Team Inbox - chat assignment, internal notes, saved templates and several staff working the same conversation - and the customer portal are both power-ups still in development. If WhatsApp delivery is the reason you are switching, wait for it rather than buying on the promise.

Growth is AED 99 a month with five users included, priced in dirhams, with no conversion. If you also need the full accounting layer - chart of accounts, journals, trial balance, P&L and balance sheet - that is the Business plan at AED 179. Both are on the pricing page.

Where it does not help: if you need payroll, inventory, or you are a AED 50m+ business that already runs an ERP. We would rather tell you that now.
